Guidelines for Team Managers
Duties of a Manager
- Attend the manager’s meetings for your sport
- Notify team members of date, time and location of all scheduled and rescheduled games.
- Ensure all team members conform to:
- eligibility requirements (including special playoff requirements)
- the Code of Conduct (on each score card & posted on the boards): ensure all game officials, opponents and your team members treat teammates with respect.
- Correctly fill out the scorecard/sheet at each game. Ensure all team members' names appear on the score card. PLayers that do not sign the card will not be given credit for attending the game. DON'T FORGET!
- Correctly follow procedures for protests.
- Sign out any necessary equipment for your team well ahead of game time.
- Notify the Student Intramural Office of any scheduling problems at least 4 working days before the game. Rescheduling requests are not guaranteed and must be for academic reasons only (midterm exams, etc.).
- Games are played regardless of a game official being there (except ice hockey)
- All games start ON TIME...All games finish ON TIME... If your game starts late, you still finish on time so the next team is not compromised.
Eligibility
All full-time or part-time undergraduate, graduate, professional or visiting students who have paid the athletic fees are eligible to participate in the Intramural program.
The following eligibility rules are to be respected:
- WIC or BEWS participants must play with their respective faculty units to be eligible.
- Participants may play for ONE team per sport. (BEWIC and WIC volleyball are considered separate sports)
- Participants may play in ONE division within the same sport during a season
- Anyone practising or training with a varsity team is ineligible for Intramural competition in that sport for the year
- NOTE: Varsity soccer players are ineligible to play Intramural indoor or outdoor soccer
- NOTE: Varsity water polo players are ineligible to play inner tube water polo
- NOTE: Women who wish to participate on a BEWS team in a given sport must sign the official Declaration of Intent form at the start of the season. She may not play in the WIC program for that sport.
- All league participants must have played a minimum of 50% of regular season games to be eligible for post season play. Lists of eligible players will be posted on the appropriate bulletin board prior to playoffs.
Equipment Issue
Managers will sign out appropriate jerseys from the equipment desk using their student card.
- Ask the attendant for a sport bag (soccer/ultimate/basketball/etc).
- Once equipment is signed out, it becomes YOUR responsibility. If it is lost, you will be charged to replace it. It is strongly suggested that you count balls, jerseys, etc. when you receive your equipment bag to verify that you indeed have all of the articles you have signed for. We STRONGLY ENCOURAGE managers to count jerseys before they leave the equipment desk, to ensure the proper number are being signed out.
- Equipment is due back at the Equipment Counter immediately following your game. NOTE: A late fee will be applied daily for any equipment returned after the day it is signed out.
- For ball hockey or other teams who play in the arena, individual team members are required to bring their student card to the arena equipment counter to sign out helmets.
- If you are managing a team that plays at West Campus, your equipment will be issued at Richardson Stadium.
Defaults
- Your team will be charged with a default when the minimum number of players fails to show up to a game.
- Two (2) defaults in a season results in the elimination of your team from the league; your competitive faculty unit will be penalized with a loss of points toward the championship trophy; two (2) defaults results in the loss of the entire bond.
- One (1) default results in the loss of half of any bond money paid; your team will be charged with a minus two in the standings.
Misreps
If your team plays a player (knowingly or not) who is not eligible to play, the team will automatically lose the game (no winner), and lose an additional 2 points in the league standings. They will also be warned that any subsequent misreps will result in their removal from the league. Examples of ineligible players include:
- Players who are playing for another team in the league/sport.
- Players who are playing under suspension.
- Players in BEWS/WIC leagues who are not playing for their proper faculty unit.
- Part time students who have not paid their athletics and recreation fee.
- Faculty or staff.
Protests
If you feel that an injustice has occurred that will adversely affect your team or members, a written protest, including all the facts related to the occurrence, may be submitted to the Intramural Coordinator within 48 hours during the regular season, or before noon the day after the game during playoffs during playoffs. The team manager or your faculty athletic stick must submit protests.
Please Note: Any protests concerning a referee’s call will not be entertained. However, concerns and constructive comments are always welcome and should be directed to the Officials Coordinator.
Accidents & Injuries
Outdoor sports - use the blue phones to call emergency report centre if Queen’s First Aid is not at the game
Hockey - Queen’s First Aid should be on site
All other sports & tournaments: use the blue phones or go to the PEC Equipment Counter and request assistance.
In all cases of injuries: You must fill out an incident report form and return it to the Intramural office - within 24-48 hours, please! This is very important!
Schedules & Reschedules
Schedules showing the date, time and location of all leagues will be posted on the Intramural bulletin boards as follows:
WIC: Women’s change room
BEWS: Corridor leading to men’s change room
BEWIC: Upstairs in the long corridor outside of the entrance to Bews Gym and Room 201A
A copy will also be posted on the Intramural Web page. It is your responsibility to ensure your team is aware of all games & any changes.
Reschedules: To request the rescheduling of a game, email the appropriate scheduler at least 4 business days in advance of the game. ONLY listed team managers or sticks may request a scheduling change. NO PHONE CALLS WILL BE ACCEPTED.
Request for reschedules will be considered (not guaranteed) if made at least four (4) business days in advance, in writing and for a valid academic reason.
Inclement Weather
Outdoor fall sports managers should call the Intramural Hotline at: 533-6000 ext. 75036 after 4:00 p.m. to check the status of games. Or stop by the Intramural Student Office (Room 201A) in the PEC after 5:30 p.m.
