Game Officials:

Officials are recruited throughout the year, but mainly in September with a series of clinics usually held during week 2 of classes (just before the leagues begin). Anyone interested in officiating should come to our officiating clinic on Wednesday September 20th, starting at 8:30pm in room 205 of the PEC.

NEW THIS YEAR: Game fees for soccer and basketball officials have been raised. To receive the increased rate $15/game, you must obtain current year certification through the national/provincial association of that sport.

Intramural Operations Group & Tournament Sport Convenors:

These positions are advertised in February, prior to Reading Week, and interviews commence in early March. These positions are filled in the Spring for the next school year.

The Operations Group is responsible for the ongoing administration and delivery of the Intramural program in cooperation with and under the direction of the Intramural Coordinator. The Operations positions are paid student positions within the UCA budget. Four student coordinator portfolios make up the Operations Group: publicity/tournaments, scheduling, officials and awards. Within each portfolio, there are sub units.

Publicity oversees faculty liaison and promotions officers and the various tournament convenors. The faculty liaison post is responsible for the communication between the Executive Council, Intramural General Assembly and Operations. All sport Chief Officials (basketball, hockey, broomball, ball hockey, field sports, pool sports, volleyball, curling and racquets) report to the Officials Coordinator. There are up to four scheduling coordinators (pool, fields, arena, gyms) who are responsible for league schedules.

In addition there are seven Evening Supervisors and a Pay Coordinator. The Evening Supervisors work closely with the officials and scheduling groups and are responsible for the on-site supervision of league play during the evening time slots. In matters pertaining to the payment of game officials, the Pay Coordinator keeps in touch with the chief officials and tournament convenors. The Pay Coordinator must also work with the Intramural Coordinator for payment of all Operations stipends and Evening Supervisor pays.

Publicity Portfolio:

Positions: Publicity/Tournament Coordinator; Promotions Officers; Faculty Liaison Officer

Publicity/Tournament Coordinator:

The Publicity/Tournament Coordinator is a voting member of the General Assembly and sits as a voting member on the Executive Council, Program Review and Operations.

Working in cooperation with the Intramural Coordinator and Assistant Coordinator, the Publicity/Tournament Coordinator oversees the promotions and faculty liaison officers, and trains the tournament convenors. The publicity group is responsible for planning and implementing publicity and promotion of the Intramural program to Queen’s students, and to facilitate the liaison between the Intramural office and the faculty/year representatives sitting on the General Assembly.

In addition to coordinating the publicity unit, specific responsibilities include:

Publicity:

  • develops a communication/publicity plan for the year
  • submits pertinent information to the campus media outlets (Queen’s Journal, CFRC, Tricolour Yearbook, Studio Q, etc.)
  • coordinates the information on the Intramural bulletin boards
  • coordinates information about the program to first year students in residences
  • ensures updated information is on the web site
  • organizes publicity staff for the promotion of the Intramural program at special events such as Athletic Information Night, Winter sign up, BEWIC Sports Days, etc
  • assists the awards coordinator in promoting RAP Awards and the year end banquet
  • ensures the promotion of all aspects of the Intramural calendar: meetings, events, league and tournament sign ups, etc.

Tournaments:

  • prepare information packs for each tournament convenor & explain what forms are needed
  • assist the tournament convenors with the managers meetings for each tournament
  • work with the tournament convenors to develop schedules and draws

Combined:

  • Work closely with the Awards Coordinator to promote RAP and other awards and the year end banquet
  • ensures the Awards Coordinator is apprized of all tournament results
  • coordinates the information on the Intramural bulletin boards

Time Commitment:

  • 3 hours/week plus any meetings

PROMOTIONS OFFICERS:

The promotions officers are part of the Operations Group and are directly responsible for the hands on promoting and publicizing of all aspects of the Intramural program. This includes:

  • maintaining up to date information about leagues and major events on all Intramural bulletin boards in the PEC and around campus.
  • designing flyers or other promotional material to the Residence Life office for distribution to the dons and floor seniors; creating opportunities for on-site information sessions with dons and those living in residence.
  • promoting the BEWIC program to the general student population.
  • promoting BEWIC Sports Days, winter sign up, and the year end awards banquet.
  • taking photos/slides of Intramural events throughout the year to use as promotion in future publications, the web site or at the year end banquet.
  • helps prepare presentations and displays for the Residence Don’s Fair, Orientation Week, and High School Liaison Week.
  • is creative in any promotional undertaking which benefits the program.

Residence Liaison Officer:

  • FOCUS: working with the Promotions/Tournament Coordinator to develop a promotion plan for on-site information sessions with dons and those living in residence.
  • FOCUS: with the P/T, ensure information about the BEWS, WIC and BEWIC leagues and tournaments are communicated and promoted to first year students in residences, with special concentration during the first 2-3 weeks of the fall semester.
  • FOCUS: working with the publicity officer responsible for designing flyers and other promotional material, ensure materials are given to the Residence Life office for circulation to the dons and floor seniors.
  • FOCUS: promote BEWIC Sports Days and the year end awards banquet.
  • Committees: member of the Operations Group

Promotions - Visual Media Officer:

  • maintain up to date promotional information about leagues and major events on all Intramural bulletin boards in the PEC and around campus
  • take photos/slides of Intramural events throughout the year and use in special displays
  • create special displays for use in the residence presentations or other presentations as needed throughout the year
  • work with the campus media outlets, the Journal, Tricolour, etc., for photo needs
  • work closely with the Tournament/Promotions Coordinator to assist in all areas of the publicity portfolio, especially in promoting the program to the students living in residences
  • Committees: member of the Operations Group

Promotions Officer - Posters/flyers

  • To be creative and work closely with other members in the promotions area, especially the Promotions/Tournament Coordinator.
  • It is expected that any posters and flyers will be produced well in advance of any events to enable appropriate lead-time for the promotion of the event. (These can be produced ahead of time and be available to post in the appropriate time frame).
  • work with the Faculty Liaison Officer to ensure flyers are distributed to the sticks for posting in appropriate areas around campus.
  • work with the Residence Liaison Officer to ensure flyers and printed information is distributed to the Residences

Tournament Convenors

(Dodgeball, Volleyball, BEWIC Sports Days Convenors [broomball, rugby-basketball, innterube water polo, volleyball])

  • Work with the Publicity/Tournament Coordinator to develop draws/schedules
  • act as on-site coordinator for the duration of the event: monitors play during the event (keep track of wins & losses; ensure games stay on time; make appropriate judgement calls re: weather conditions, rules, etc.)
  • posts approved schedules, scoring charts, rules, etc.
  • runs the managers meeting
  • secures and schedules game officials; fills in for or replaces absent refs
  • keeps track of game officials hours and submits for pay purposes
  • files all tournament forms and documentation, including summary and final report forms
  • in the event of an injury or incident during the event, acts as first line assistance to the game official; files an incident report
  • Committees: member of the Operations Group

Scheduling Portfolio

Positions: Scheduling Coordinators (arena, pool, gyms, fields)

The Scheduling Coordinators share one vote on the General Assembly and Executive Council. All are members of the Operations Group. They are responsible for ensuring the smooth operation of the Intramural leagues and tournaments by providing the Chief Officials, Tournament Convenors and Evening Supervisors with the necessary information related to all schedules and re-schedules.

Scheduling Coordinators:

Responsibilities include:

  • collect and sort all entries with Chief Officials
  • seed entries on the basis of previous year’s results
  • summarize and catalogue all scheduling requests for future reference; respond to all re-scheduling requests in a timely fashion
  • generate all league schedules and ensure they are posted in time for advanced notice to the teams
  • ensure all schedules are posted on the appropriate bulletin boards, in the master schedules binders and on the web
  • distribute rules and managers cards
  • develop and post the playoff format for each league at the time the schedule is generated
  • adjust schedules as needed when teams default out of a league
  • advise appropriate individuals of schedule changes and modifications (team managers, chief officials and the Intramural Assistant)
  • with the Intramural Assistant, produce the WIC, BEWS and BEWIC eligibility lists for playoffs
  • post the playoff schedule as soon as possible and notify all parties
  • ensure teams are aware of playoff dates, times and player eligibility
  • chair managers meetings
  • communicate daily/weekly as necessary with the Chief Officials, the Officials Coordinator, the Intramural Coordinator, Assistant Coordinator and Evening Supervisors
  • sits on the Program Review subcommittee, with one of the Scheduling Coordinators acting as chair.

Time Commitment:

  • 2-5 hours per week, plus meetings

Officials Portfolio

Positions: Officials Coordinator; Chief Officials

Officials Coordinator:

The officials portfolio is managed by the Officials Coordinator, who is a voting member of the General Assembly and Executive Council. He or she is also a member of the Operations Group.

The Officials Coordinator works in cooperation with the Intramural Coordinator and Assistant Coordinator on all matters relating to Chief Officials, game officials, eligibility and disciplinary actions. The overall responsibility of the Officials Coordinator is to ensure a high standard of officiating in the Intramural program. The criteria is based on:

  1. The SAFETY of the participants
  2. The PROMOTION of the participatory philosophy of the Intramural program
  3. The administrative and technical SUPPORT of officials.

Direct responsibilities include:

  • represent student officials and their interests at the Executive Council
  • organize and chair the general all-officials sign up meeting
  • organize the officials clinics at the beginning of the season and, if necessary, during the year, including booking instructors, coordinating the agenda with the chief official of each sport, and in conjunction with the Intramural office, prepares clinic materials. Assist the Chief Officials with conducting the respective clinics
  • oversee and assist the chief officials in fulfilling their responsibilities
  • works in close cooperation with the Scheduling Coordinators and Evening Supervisors
  • assist Tournament Convenors with their officiating needs and schedules officials for any event that is unassigned
  • in conjunction with the Chief Officials, provide input to the Awards Coordinator regarding officials worthy of recognition for the RAP Official of the Month award and the Intramural Silver Whistle major award
  • provide information and feedback to the Intramural Coordinator concerning the Officials Handbook publication
  • prepare, maintain and distribute the on-going Intramural suspensions list
  • call and chair all Protest and Discipline sub-committee meetings; acts to enforce any ruling made by this committee
  • keep a running record of Fair Play ratings

Time commitment:

  • 10-12 hours per week plus meetings

Chief Officials:

These positions as listed act as sport convenors and carry the responsibilities and duties as listed below:

  • Pool Sports:
  • inner tube water polo
  • Field Sports:
  • touch football; ultimate; indoor & outdoor soccer leagues
  • Volleyball:
  • all volleyball leagues
  • Basketball:
  • all basketball leagues
  • Hockey:
  • all ice, ball & floor hockey leagues and tournaments; all broomball leagues
  • Racquets: all racquet sport leagues and tournaments
  • Curling: all curling leagues

Duties and responsibilities:

  • post sign-ups and schedules for officials in respective sports
  • finalize referee assignments, adjust pairings, ensure individuals do not ref for home unit, assign officials for playoffs and finals
  • attend the general all-officials meeting
  • run/instruct the officials clinic for respective sport
  • submit pay summary forms to the pay coordinator on time and meets all deadlines
  • with the Officials Coordinator, ensure proper evaluation of officials
  • in conjunction with the officials coordinator, provides input to the awards coordinator regarding officials worthy of recognition for the RAP Official of the Month award and the Intramural Silver Whistle major award.
  • participate in any protest and discipline matters in respective sports
  • submit to the Officials Coordinator a final report with any recommendations for change in the areas of scheduling, facilities, rules, etc.
  • member of the Operations Group
  • collect information from officials regarding any disciplinary situations as requested by the Officials Coordinator

Time commitment:

  • varies per sport from 2 hours per week (pool sports) to 6 hours per week (hockey), plus meetings

Awards Portfolio

Position: Awards Coordinator

The Awards Coordinator is a voting member of the General Assembly and Executive Council, and sits on the Operations Group. The primary mandate of this position is to administer the Intramural awards and participant recognition system.

Responsibilities include:

  • tabulate points for all major year end awards in the BEWS, WIC and BEWIC programs (including Marion Ross, Independent House, Klatt Fleet, John Paul and James G Bews standings)
  • maintain up to date records for BEWS and WIC championship points
  • distribute the BEWIC championship t-shirts
  • organize the nomination and selection of the major individual awards
  • with the promotions staff, promote and publicize the RAP, Intramural and participant recognition awards
  • organize the selection process for the RAP awards
  • chair the Awards sub-committee; call meetings and set agenda items
  • liaise with the faculty reps regarding faculty letters and awards presented by each faculty society
  • assist with the distribution of championship and personal Intramural awards
  • assist with the BEWIC Sports Days coordinators for awards requirements
  • label all Intramural trophies and plaques for engraving
  • provide information to the Intramural coordinator for the Year in Review publication
  • provide awards and standings information to the publicity coordinator for distribution to campus media

Time Commitment:

  • 2-3 hours per week (increases at the end of the year in preparation for the banquet and awards), plus meetings

Pay Portfolio

Position: Pay Coordinator

The Pay Coordinator sits on General Assembly and Operations Group and is responsible to ensure the timely submission of all student staff pays. The Pay Coordinator must liaise closely with the Chief Officials, the Publicity/Tournament Coordinator and the Intramural Coordinator.

Time Commitment:

  • 2 hours per week, plus meetings

Evening Supervisor Portfolio

Positions: 6 Evening Supervisors

The Evening Supervisors serve as the on-site person in charge during the evening hours when Intramural leagues are underway. Members of the Operations Group, they are integral to the smooth operation of the program. They must work closely with the Officials Coordinator, Scheduling Coordinators and the Chief Officials. In a role as frontline staff to the general student intramuralist population, they must be knowledgeable about the Intramural program as well as adept at handling concerns, complaints and any crisis that may arise.

Responsibilities include:

  • familiar with the office record keeping systems/proceedures
  • familiar with the governing regulations of the Intramural program
  • prepare scorecards for the next night’s league games
  • records previous night’s results
  • update the default binder; calls managers and notifies chief officials and scheduling of all defaults
  • continuously monitor all venues (i.e., goes on ‘rounds’ every hour) to ensure games are running smoothly
  • update phone recording each evening; make decisions regarding inclement weather conditions for outdoor sports and updates the phone message accordingly
  • turns on lights at Tindall Field
  • serves as an ambassador for the Intramural program; answers questions knowledgeably and is helpful to anyone phoning or dropping by the office
  • ensures office is tidy and all binders/folders are returned to their appropriate place
  • fills out a detailed report at the end of each evening’s shift; communicates any unresolved problems/questions to the Intramural Coordinator, Assistant Coordinator, Officials Coordinator or scheduling as appropriate

Time commitment:

  • shifts vary: fall term shifts run about 4-5 hours; winter term shifts run between 3-4 hours.
